VoIP and SIMs is a trading style of Beacon Communications Ltd. This Privacy Policy explains how Beacon Communications Ltd, trading as VoIP and SIMs, collects, uses, shares and protects personal data when you visit voipandsims.com, use our online store or chat, buy or use our services, or contact us.

1. Who is the data controller?

Beacon Communications Ltd, trading as VoIP and SIMs, is the data controller for personal data handled for our own business purposes.

2. Personal data we collect or process

Personal data means information that identifies you or can reasonably be linked to you. It does not include anonymous or properly de-identified information.

a) Information you give us

  • Contact details, including your name, business name, email address, telephone number and postal address.
  • Order and billing information, VAT details, payment references and transaction information.
  • Porting and switching information, including PAC or STAC codes, numbers to move, and LOA or cLOA information where required.
  • Customer account information, preferences and settings. Account authentication and password data may be processed by Shopify; we do not ask you to send passwords through chat.
  • Support tickets, emails, messages, chat communications and other correspondence.
  • Recordings of calls made to or from our business. We tell callers when recording is in use.
  • Information needed to provide, activate, configure, support, bill for or cancel telecoms services.

Where a customer enables call recording on its own Phone System, recordings are stored within the cloud platform delivering that service. We do not routinely access those recordings. We access them only when the customer asks us to provide authorised support.

b) Information collected automatically

  • IP address, device, browser and network information.
  • Basic geolocation derived from technical information.
  • Pages viewed, clicks, cart activity, account activity and other use of the online store.
  • Log files used for security, fraud prevention, diagnostics and performance.
  • Cookie and similar-technology information, subject to your choices where consent is required.

c) Information from third parties

  • Shopify, including checkout, customer-account, order, cart and store-usage information.
  • Payment processors, including payment confirmation, payment method, transaction references and card tokens. We do not receive full payment-card numbers.
  • Telecom carriers, networks, wholesale platforms and service providers, including usage records, call detail records, service status and fault information.
  • Couriers and fulfilment providers.
  • Analytics, advertising and marketing providers where permitted and, where required, after consent.
  • Other service providers, partners or authorities where needed to provide services, protect the business or comply with law.

3. How and why we use personal data

4. Cookies and similar technologies

We use cookies and similar technologies for security, cart and checkout functions, customer-account login and other strictly necessary purposes. With your consent, we may also use them for analytics, personalisation and marketing.

You can accept, decline or manage non-essential cookies through our cookie banner. You can withdraw consent later through the cookie-preferences link on our store. Browser settings may also let you block or delete cookies, although this can affect site functions.

5. Shopify, enhanced services and sharing

Our online store is hosted by Shopify. Shopify collects and processes personal data when you visit, use or make a purchase through our store so that it can provide and improve the services used to operate the store.

We have Shopify Network Intelligence enabled. This allows Shopify to use information from customer interactions with our store, with other Shopify merchants and with Shopify to provide enhanced services. These may include improving products and personalisation, understanding store and advertising performance, protecting the platform, and providing more relevant advertising where permitted. This does not allow another merchant to directly access our customer data.

Information about your activity on our store may be shared with Shopify and with service providers or other third parties, including parties located outside the United Kingdom, where this is needed to provide these services.

You can read more in the Shopify Consumer Privacy Policy. Depending on your location, you may also use the Shopify Privacy Portal to exercise rights or manage eligible privacy choices.

Where available for your location, you may also use our data-sharing opt-out page to manage eligible choices concerning targeted advertising or data sharing.

We also share personal data where necessary with:

  • Telecom platforms, carriers, networks and wholesale providers.
  • Payment processors and fraud-prevention providers.
  • Couriers and fulfilment partners.
  • IT, cloud, analytics, customer-support and professional-service providers.
  • Regulators, courts, law-enforcement bodies or advisers where legally required or reasonably necessary.
  • A buyer, investor or adviser in connection with a possible business sale, restructuring or similar transaction, subject to appropriate safeguards.

Where required, we use contracts and other appropriate safeguards designed to protect personal data shared with service providers.

6. International transfers

Some of our service providers may process personal data outside the United Kingdom.

Where a restricted international transfer takes place, we use or require an appropriate lawful transfer mechanism. Depending on the circumstances, this may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the European Commission's Standard Contractual Clauses, or another mechanism permitted by data-protection law.

7. How long we keep personal data

  • Account and billing records: at least 6 years where required for tax or accounting purposes.
  • Call detail records and SIM usage logs: only as long as required for billing, fraud prevention, dispute handling or regulatory duties, then deleted or anonymised.
  • Support tickets and related correspondence: normally 3 years after closure, unless needed longer for a complaint, dispute or legal claim.
  • Our business call recordings: normally 90 days.
  • Customer Phone System recordings: the retention period depends on the selected service and is stated in the relevant Contract Pack or service terms.

Where no fixed period applies, we use criteria such as legal requirements, limitation periods, dispute timeframes, service needs and operational necessity.

8. Your rights

Depending on the circumstances and the law that applies, you may have rights to access, correct or erase your personal data, restrict or object to its use, receive or transfer certain data, and withdraw consent where consent is the lawful basis.

You can object at any time to the use of your personal data for direct marketing, including profiling related to direct marketing.

We respond without undue delay and, in most cases, within one month. If your request is complex or you have made a number of requests, we may extend this period by up to two further months where permitted by law. If we do, we will tell you within the first month and explain why.

9. Automated processing and decisions

We do not use our AI-assisted chat or another system to make solely automated decisions that have a legal or similarly significant effect on you, such as approving number porting, making credit or service-eligibility decisions, setting individual contract terms, changing contracts or settling complaints. These matters require human review.

Our AI-assisted chat can provide information and product recommendations, add a product to your cart when you ask, and help you check the status of an existing order after you sign in. Adding a product to your cart does not complete checkout or mean that we have accepted an order.

The AI-assisted chat cannot approve or complete orders, approve number porting, make credit or service-eligibility decisions, change prices or contract terms, activate or cancel services, settle complaints, or decide matters that require consultation or human judgement.

Shopify, payment providers and other service providers may use automated checks for payment processing, fraud prevention, security, analytics, personalisation or advertising. A payment provider may decline a payment attempt, and Shopify's fraud analysis may flag an order for our review.

10. Marketing choices

We may send marketing about our own relevant business telecoms products and services where one of the following applies:

  • You have actively agreed to receive marketing.
  • The soft opt-in applies because we obtained your contact details directly from you during a sale or genuine discussion about a sale, the marketing concerns our own similar products or services, and we offered a clear opt-out when collecting your details and in every later message.
  • The recipient is a limited company, LLP or another corporate subscriber and the marketing is permitted by law.

Sole traders and some partnerships are treated as individual subscribers for email and text marketing. We therefore require consent or a valid soft opt-in before sending them this type of marketing.

Every marketing email or text identifies us and provides a clear and easy way to opt out. We stop using personal data for direct marketing when someone objects.

Transactional and service communications, such as order updates, billing notices, porting information, fault updates and important service messages, are not marketing and may still be sent where necessary.

11. Third-party websites and links

Our website may link to third-party websites, network coverage checkers, payment pages, social platforms or other services that we do not control. Those services have their own privacy notices and security practices. Please review them before providing personal data. A link does not by itself mean that we endorse or control the third party.

12. Children's data

Our products and services are for business customers, including sole traders, and are not directed at children. We do not knowingly collect personal data from children through the store. A parent or guardian who believes that a child has provided personal data can contact us at privacy@omnicom.uk.

13. Security

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, accidental loss, alteration or disclosure. These measures may include access controls, secure systems, encryption where appropriate, staff procedures and safeguards used by our service providers.

No method of transmission or storage is completely secure. Please contact us promptly if you believe your personal data or account has been misused.

14. Complaints

If you have a concern or complaint about how we collect or use personal data, email complaints@omnicom.uk. For general privacy enquiries or requests about your data-protection rights, email privacy@omnicom.uk.

We will acknowledge your complaint within 30 days. We will make appropriate enquiries without undue delay, keep you informed where needed, and tell you the outcome.

15. AI-assisted online chat

We use Shopify Inbox to provide AI-assisted chat on our online store.

The chat can answer product questions, recommend products, add a product to your cart when you ask, and help a signed-in customer check basic order status. It does not complete checkout or make contractual, porting, credit, service-eligibility, activation, cancellation or complaint decisions.

When you use the chat service, Shopify processes the information you provide, including your chat communications, to generate responses and to improve the quality of the Inbox agent over time.

Conversation history may be reviewed by authorised staff for customer support, quality checking and follow-up.

Please do not send payment-card details, account passwords, PAC or STAC codes, LOA or cLOA documents, or other sensitive information through chat unless we direct you to an approved secure method.

16. Changes to this policy

We may update this policy from time to time to reflect changes to our practices, services, technology, legal duties or Shopify settings. We will update the date shown above and provide any additional notice required by law. The latest version will remain available on this page.
